KwikEat Desktop – Privacy Policy

KwikEat Desktop POS keeps a shop's orders and customers on the shop's own computer; it sends only what an address search, a product message or a linked web shop needs to the KwikEat servers. This policy covers the KwikEat Desktop POS app for Windows, distributed through the Microsoft Store by AnyKey Software Solutions ("we", "us").
Data on the shop's own computer
The app stores its data locally, in %ProgramData%\KwikEat on the shop's computer. We do not receive this data, unless the shop links a web shop (see below).
- Shop details: name, address, phone, e-mail, VAT and Chamber of Commerce numbers, opening hours and settings
- Menu, prices and VAT rates
- Orders, payments, end-of-day totals and reports
- The shop's customers: name, phone and mobile number, e-mail, delivery and invoice address, notes and order history
- Settings of the computer itself (printer, language, messages already shown)
The shop decides what it keeps and can change or delete customers in the app.
Data sent to our servers
The app contacts the KwikEat server (merchant.kwikeat.com) only for the features below. Every request also carries the computer's IP address, which we use to limit the number of requests and keep the service stable.

Dutch addresses are looked up by postcode and house number directly in the Dutch address register (see below).
Third parties
We do not sell data, show advertising or use analytics or tracking in the app. Only these services are involved:
- PDOK (Dutch government): a Dutch postcode and house number are looked up in the public address register (BAG) at api.pdok.nl, directly from the app or through our server.
- Photon by komoot (OpenStreetMap data): the address text, country and shop location of an address search outside the Netherlands are passed on by our server to photon.komoot.io.
- Microsoft Store: distributes and updates the app; Microsoft's own privacy statement applies to it.
Licence
The licence holder's name and the licence and registration codes are stored on the computer, protected with Windows data protection (DPAPI). They are checked on the computer and not sent to us.
Retention and security
- Address searches are kept in our server's memory for at most 24 hours, so a repeated search is answered faster; they are not stored in a database.
- IP addresses are kept in memory only as long as needed to limit requests (minutes).
- Requests for messages are not stored.
- Web orders of a linked shop are kept as part of the shop's KwikEat web shop, for as long as the shop uses it.
- All traffic between the app and our server uses HTTPS. Data on the shop's computer is as safe as that computer; we advise the shop to use a Windows account with a password and the app's PIN.
The shop's customers and your rights
The shop is the controller of its customers' data under the GDPR (AVG); for the data the app sends to our servers, we act on the shop's behalf. Customers who want to see, correct or remove their data ask the shop, which can do so in the app.
Shops and their staff can ask us which data we hold about them, and have it corrected or removed, at the contact address below. You may also complain to your data protection authority, in the Netherlands the Autoriteit Persoonsgegevens.
The app is meant for businesses and is not aimed at children.
Changes and contact
When this policy changes, we update the date at the top and, for important changes, tell shops through a message in the app.
